Using AI to Accelerate DPP Planner Workflows
Often, companies find it challenging to gather and organize their sustainability data in preparing their Digital Product Passports. Many times this raw, unstructured data in is located in different places in the organization—on Web sites, in presentations, and in documents.
DPP Planner can accelerate your Digital Product Passport workflow with an AI Assistant that helps summarize raw sustainability information into DPP Planner templates. The AI Assistant uses generative artificial intelligence to analyze the raw sustainability data that you provide and then create summarized text for your Digital Product Passport. You can also refine the generated text using additional AI prompts to further achieve your desired result.
To use the PicoNext AI Assistant within DPP Planner, do the following:
1. Create a product in DPP Planner
To begin, create a new product in DPP Planner and load a template with sustainability attributes. For more information on creating a new product and loading a template, follow the instructions in the article Create new DPP Planner Product
Before using the AI Assistant, make sure you have sustainability attributes added in your DPP Planner. You can either load a pre-defined template, or add attributes individually to the template. These attributes (like Raw Materials, Recycling Info, Disposal Instructions, etc.) will contain the summarized information from your sustainability data.
2. Add sustainability data
Next, in the AI Assistant, add the raw sustainability data you would like to summarize. You can add files (Word documents and PowerPoint presentations) or URLs of Web pages as your raw sustainability data.
2A. Upload files To upload files (like Word documents or PowerPoint presentations) for AI Assistant to summarize, begin by pressing the Add file button.
A window will appear with documents that you've previously uploaded (if any). To upload a new file, press the Upload tab at the top of the window.
Then press Select files, and select the files you would like to upload.
Then press Start upload.
The AI Assistant accepts the following file types:
- Microsoft PowerPoint (PPTX)
- Microsoft Word (DOCX)
- Rich text files (RTF)
- Plain text files (TXT)
In addition, files uploaded for use in the AI Assistant must be 20MB or less in size.
2B. Add files to the AI Assistant Once you've uploaded files, add the files you would like the AI Assistant to summarize by pressing the Diagonal Arrow icon.
If you need to remove files from the AI Assistant, press the red X icon next to the file name.
2C. Add URLs to the AI Assistant You can also add Web pages you would like the AI Assistant to summarize.
To add a Web page for the AI Assistant to summarize, press the Add URL button.
Then, enter the URL of the Web page. Make sure to include https:// or http:// in the URL you enter.
If you need to remove URLs from the AI Assistant, press the red X icon next to the URL you entered.
3. Use Generative AI to summarize data
3A. Ensure you have sustainability attributes, and have added files/URLs Once you have added sustainability attributes to your DPP Planner template, and have added files or URL in the AI Assistant, you're ready use generative AI to summarize your sustainability data.
3B. Generate DPP data using AI To use generative AI to summarize your data into your template, press the Generate DPP data button.
Using the AI Assistant will replace all of the content in your DPP Planner with new data. It will overwrite any existing content you have entered. If you wish to proceed, press the Replace button.
The AI Assistant will use generative AI to summarize your data. While it it working, you'll see a progress bar.
When the AI Assistant is finished, it will replace the items in your DPP Planner template with the summarized text. You can then further edit the text manually, format the text with bold or italics, add images, and add links.
Note: When using the Generate DPP Data button, the AI Assistant will confirm that you wish to replace all entered template data with new data generated by the AI Assistant. This will overwrite any existing data in your template. If you wish to only overwrite one attribute field at a time, use the Refine field (described below).
You'll also see the number of generative AI credits remaining in your plan after making the generative AI request. Each request for summarization to the AI Assistant uses one credit. If you do not have any credits available for the month, the AI Assistant will return an error.
4. Refining AI-generated text
The PicoNext AI Assistant also allows you to refine the AI-generated text that is in the DPP Planner template. Refining the text is useful if the result needs more detail, doesn't adequately address the selected sustainability attribute, or you would like the AI Assistant to focus on a specific portion of your data.
4A. Enter a prompt To refine the summarized text for a specific attribute, enter a prompt in the refinement field. You can enter prompts like:
- "Focus more on the recycling information for the product"
- "Focus on the disposal instructions for the apparel"
- "Make the text easier to read"
4B. Refine DPP data using AI Next, press the Magic Stars icon to start refining the text.
Note: Refining the text will replace all of the text for a specific attribute with new, AI-generated text. It will overwrite any existing content you have entered for that attribute. If you wish to proceed, press the Replace button.
The AI Assistant will use generative AI to refine your text, based on your prompt. While it it working, you'll see a progress bar.
When the AI Assistant is finished, it will replace the text in your DPP Planner attribute with the new, refined text. You can then further edit the text manually, format the text with bold or italics, add images, and add links. Each use of the AI Assistant to refine text deducts one credit from your monthly allotment.
5. Changing AI Assistant options
As you use the AI Assistant, you can modify options to alter the AI-generated output and experiment with settings that produce the best results for your data and DPP Planner template.
To view the AI Assistant settings, tap on the Generative AI options link.
You can then drag the sliders to modify the values for the AI Assistant. The options that you can modify are:
- Word count. Sets the target number of words per generated paragraph.
- Temperature. Determines variety of output: lower values produce more predictable text, higher values allow more variation
- Frequency penalty. Determines repetition in output: lower values allow more repetition, higher values penalize repetition
Experimenting and testing different combinations of settings will help you find the options that work best for you.
